Send Batch Renewal Emails for Members

There are two options for sending renewal emails:


  1. Batch Renewal Email Notifications:
You can send email notifications in bulk using the "Batch Renewal Email Notifications" option. This is helpful when you want to send notifications to multiple members at once.


     2. Automatic Email Renewal Notifications:For even greater convenience, you can set up automatic email renewal notifications. Configurable in the MMS Configuration, these notifications can be sent at regular intervals until the member renews or cancels their membership. They start sending as soon as the invoice record is posted in the system. Please contact our help desk for assistance in setting up this feature properly.



Send Renewal Email to Specific Member:

If you prefer to send notifications individually, you can use the "Send Renewal Email to Specific Member" option. This allows you to send a renewal email to a particular member.


Renewal Links:The email notifications include a link that allows members to conveniently pay their renewal dues online if you have a Merchant Account/PayPal integration.


Cancellation Links:The notifications also provide a link that allows members to cancel or drop their membership. If you want to disable this feature and require members to contact you to cancel, it can be turned off in the MMS configuration.


Attached PDF:Optionally, you can attach a PDF invoice document to these emails. This is useful for members who need to submit the document to their employer for dues payment.



Open Detection of Email Renewal Notifications:To track if members have opened their billing emails, you can enable open rate detection. To do this, ensure you have a header image and border enabled in Broadcast Messaging, and the "Renewal-Email Use Header/Border" option checked in Billing Configuration. You can then enable "Billing Email Open Rate Detection" in the Billing Configuration. This allows you to see the date when a member last opened their billing notification. 

Please note that if the recipient has blocked images, the opening of the billing email might not be registered.
