Bounced Emails

To ensure effective communication with your members and prospects, it is crucial to maintain an accurate and up-to-date email list. The MMS provides the Bounced Email report to help you manage bounced emails from various systems, such as broadcast messages, event invitations, and survey emails.


When an email sent from the broadcast messaging or other modules encounters an invalid email address, it gets returned to the GroupMessaging@ address. These bounced emails are then processed, recorded, and presented in the report.


Additionally, there is a Broadcast Email Bounce List Mass Delete and Email Removal feature that you can request from our customer service team.
It is important to promptly correct bad emails and keep the percentage of invalid emails in your database low. Sending emails repeatedly to invalid addresses within certain ISP domains can be seen as spamming, potentially leading to our server being flagged as a spam source (blacklisted).


Here are some tips to help you understand and address bounced emails:
  • Bounce messages come from different email programs, and some of them can be confusing or not provide clear information about the issue.
  • For example, if you encounter an error message mentioning 'Message Refused,' it could indicate a bad email address or the recipient blocking your message, suspecting it as spam.
  • Sometimes messages are blocked due to their content, such as excessive images or links, among other reasons.
  • Occasionally, a recipient's host may mistakenly block our server, considering it as a spammer. If this happens, let us know so that we can work with them to resolve the issue.
  • Pay attention to the italicized information below the bounce message. It displays the date of the last bounce and the number of times that email address has bounced. If the bounce count is increasing, it is advisable to address those bounces first.
  • If you receive a confusing or meaningless bounce message and want to check if an email address is valid, a simple test is to send them an email from your regular email account. If you receive a similar bounce message, it indicates an invalid email address. Otherwise, there might be another issue at hand.
  • You can also use an online email address verifier program to determine the validity of an email address. These verification tools connect to the mail server and check if the email address is valid.

By actively managing bounced emails and maintaining a clean email list, you can enhance the deliverability of your messages and avoid potential issues with spam filters or blacklisting.
