Broadcast Text Message

Section: 35

last update: 04/16/24

The broadcast text message module allows an association to send out text messages to a group of members. To turn on this feature, please contact tech support to get started. Additional fees apply.

As part of the set up process for broadcast texting, your organization will need to submit an application to use broadcast texting for your membership, which will need to be approved by a third-party committee of individuals that work with the mobile phone carriers. Tech support will provide this application to you, and have you fill it out and return it so we can submit it on your behalf for approval. This approval process can take several weeks, depending on the volume of broadcast texting requests this committee receives.

Once approved, it will be necessary to turn on a special mobile-phone field within the member database, that members will put their mobile #'s into. This is the field that is used to determine the phone numbers to use when sending out broadcast texting.

In addition to the special mobile-phone number, members in the database must also be opted into receive the text messages. There is a "text messages" checkbox that will appear during new member registration and member profile editing. Admins can check the box too, but they must have permission from the member to do so.

Broadcast texting can also be enabled for Event Registration to reach out to event contacts only. Please note that mass texting attendees is not possible.

Organizations will get their own dedicated 10-digit number to send messages from. When the module is enabled, to send a message, click on 'send new message'. You'll be prompted to enter a subject (note: the subject is not sent, this is just used as a way to track which message was which) and message as well an option to upload an image.

You will also see the option to select recipients: - member database or event registration.

Member Database: Only member records with something entered in the mobile phone field will be available to you.
Event Registration: Only event contacts that have entered a phone number into the mobile phone field will be available to you

Once you've made your selection, verified your message, you then can send it - either immediately or scheduled on a specific date and time.

Note: In the United States, text messages sent by an automated system are regulated by the Telephone Consumer Protection Act (TCPA.) Messages can only be sent between the hours of 8AM and 9PM (based on the recipient's local time.) Before a message is sent or scheduled, the Broadcast Text module will attempt to determine the local time of each recipient, and will return an error if it's determined the message will be delivered outside of these times.

After the message, there is a 'status page' available for that message. It will show the progress of the message (which ones have been sent, or which ones had difficulty). Also, If the recipients choose to reply to your text, their replies will show up on the status page. Responses to text messages can also be sent to a dedicated email address.
